Who we are and what this policy covers

Rupasya Circle FZE (“we”, “us”, or “our”) provides Snap Notes. This policy explains how personal information is handled in connection with the app, its related services, and support communications. Contact us at snapnotes@rupasyacircle.com with questions about this policy or your information.

The information involved depends on the features you use, the permissions you grant, and what you choose to provide. A description of an optional feature does not mean every user must provide that information. The Rupasya Circle website has a separate website privacy policy.

Information associated with Snap Notes

Information you choose to provide may include audio recordings, uploaded source materials, transcripts, notes, summaries, folders, bookmarks, flashcards, and quiz responses. Recordings can contain the voices and personal information of other people.

If you use an account-based feature, account information may include the name, email address, sign-in identifier, and preferences you provide. When you contact support, we receive your email address, your message, and any attachments you send. Please do not send passwords, payment-card details, or unnecessary sensitive information.

When a feature connects to an online service, technical information such as an IP address, device and operating-system details, app version, request timestamps, and error information may be processed to provide the service and investigate problems. Where purchases are offered, the store or payment provider processes the transaction; purchase status and transaction references may be used to provide access or resolve a billing enquiry.

How information is used

Capture and organise your source materials, create transcripts or summaries when you request them, and provide study tools associated with your notes.

Information is also used as needed to respond to requests, maintain service security, investigate failures or misuse, manage access to purchased features where applicable, and comply with legal obligations. Optional permissions or consent are not authorisation for unrelated processing.

Where data-protection law requires a legal basis, processing relies on providing the service you request, complying with legal obligations, or legitimate interests such as service security where permitted and balanced against your rights. Consent is used where required, including for sensitive information or optional processing that requires it. You can withdraw consent without affecting earlier lawful processing.

Device permissions and your choices

Microphone access is used for recordings you initiate. File or media access, where requested, is used for the items you choose to import or export. You can revoke these permissions through your device settings.

Declining or revoking a permission can affect the feature that needs it. You can also use any available in-app controls to edit your preferences, manage reminders, and remove content. Removing permission does not automatically delete information already provided.

Personal content and sensitive information

You are responsible for obtaining any required permission before recording people or uploading their information. If you choose a cloud transcription or other online processing feature, the material needed for that feature must be processed by the service providing it. Check the feature’s notice before submitting confidential material.

Information about another person should only be provided when you have the right to do so. Before sharing or exporting content, consider who will receive it and whether it contains personal information.

Service providers and disclosure

Information needed to deliver a feature may be processed by providers supporting hosting, storage, authentication, communications, diagnostics, payments, or the specific online processing you request. Only the information necessary for the relevant purpose should be provided, subject to appropriate confidentiality, security, and data-protection obligations.

If a feature uses an external AI or content-processing service, review the information presented with that feature before submitting content. This policy does not treat general use of the app as consent to unrelated model training or advertising.

Information may also be disclosed when you direct us to share it, when reasonably necessary to comply with law or protect legal rights and safety, or in connection with a business transfer subject to applicable safeguards. An independent service you choose, such as an app store or an export destination, has its own privacy terms.

Storage and retention

Information is retained for the time needed to provide the features you use and for the purposes described in this policy. Retention depends on the type of information, whether you maintain an account or saved content, and any legal, security, accounting, or dispute-resolution requirements.

When information is no longer needed, it should be deleted or anonymised. A deletion request may be subject to limited retention required by law or necessary to resolve a dispute or prevent abuse. Any retained information remains subject to protections and restricted use. Device-only information, exported files, and backups you control must also be managed on your own devices or services.

Security and international processing

Reasonable technical and organisational measures are used to protect personal information. No storage system or transmission method can guarantee absolute security. Protect your device, credentials, and any copies you export.

Online services may involve processing outside your country of residence. Where a transfer is subject to data-protection restrictions, appropriate safeguards or another lawful transfer mechanism are required. You can contact us for information relevant to your use of the app.

Access, correction, and deletion

Depending on the law that applies to you, you may request access, correction, deletion, a portable copy, restriction of processing, or object to certain uses of your information. Send requests to snapnotes@rupasyacircle.com. You may also withdraw consent where processing relies on it and raise a concern with your local data-protection authority.

We may need proportionate information to verify that a request concerns your own data. We will respond within the period required by applicable law and explain any lawful exception that prevents us from fulfilling a request. You do not need to provide your password.

If your version of the app includes an account, use its account-deletion controls where available or follow the account and data deletion page linked below. Uninstalling the app does not necessarily delete an online account or cancel a store subscription.

Children and age requirements

The app is not directed to children under 13. Users must also meet any higher minimum age required by local law or the applicable store listing. Where parental or guardian authorisation is required, it must be obtained before use. If you believe a child has provided personal information without the required authorisation, contact us so that we can investigate and take appropriate action.

Changes to this policy

We may update this policy to reflect changes to the app or legal requirements. The date shown on this page identifies the current version. Where required, significant changes will be communicated separately and consent requested before a new use that requires it.
